Is Annual Leave the same as Vacation Leave?
I have no additional sick leave. Can I use another form of leave in its place?
No. Once sick leave has been exhuasted, sick leave without pay should be taken, and contact your Extended Leave Benefits Officer to determine any additional options you may have.
Can I enter a Vacation Leave Payout in the timesheet?
Yes. The hours will not be pensionable and Northern Allowance will not be paid. This will simply be a cash payout. If entering the payout on a regular day of work, be sure to enter any Regular hours you work as well. Ensure that you check with your supervisor on your Department's payout policies.
When is civic leave used?
The Government allows employees to take time off from work to serve as members of certain listed community councils, public boards and committees, as well as allowing eligible employees to attend treaty day celebrations. Information on civic leave can be found in Section 810 - Civic Leave in the Human Resource Manual.
What if my casual leave appointment lasts for more than 2 hours?
Employees should confirm the appropriate procedure with their manager.
If I’m injured on the job, do I enter Injury on Duty in the timesheet?
No, you should enter Sick Leave when you are injured. Once your information is received from the Workers Safety and Compensation Commission, Human Resources staff will adjust your timesheet accordingly.
What is the correct code for leave without pay?
Civic leave without pay: CV2
Personal Leave without pay: L01
Sick leave without pay: L04
All other types of leave without pay should be entered by the Department of Finance.
How do I know how much Medical Travel leave to enter?
Medical Travel leave entitlements are outlined in your terms of employment (Collective Agreement or Handbook). Employees are responsible to request leave from their supervisor/manager prior to their travel.
Can I take Games Leave if I am volunteering?
Games Leave is available for specific sporting events. You are eligible for Games Leave ONLY if you are a coach, head official or athlete. Information regarding Games Leave can be found in Section 812 of the Human Resources Manual.
Does the system track how many Winter Bonus Days I’ve used?
No, you can review leave previously taken to determine how much you have remaining. Employees are entitled to a maximum of 4 days per year.
Am I paid out for Sick or Special leave?
There is no payout of Sick or Special Leave.
Am I paid out for Vacation Leave?
Vacation leave credits are paid out when an employee ceases to be an employee or when an employee's vacation leave balance exceeds the fiscal year carry-over amount.
I am a Relief Worker. Why don’t I earn Leave?
As a Relief Worker, you earn 16% of your base salary in lieu of earning vacation, sick, special and mandatory leave.
I am a Relief Worker who has just completed a six month Transfer Assignment to a full time position. What happens to the leave I earned during my Transfer Assignment now that I’m going back to my home position?
You will be paid out any Vacation Leave and any pro-rated Stats and Mandatory Leave you earned but did not use during your Transfer Assignment. Sick and Special leave are not paid out, however, it will be retained should you accept another transfer assignment or are appointed to a non-relief worker position. These hours cannot be utilized while in a relief position.
How does pro-rated leave work?
A "Leave Details and Employee Information" link on your timesheet lets you view a detailed breakdown of your leave balances. The "To-Date" balances located on your timesheet include your hours earned to date, while the Leave Details link will identify the vacation hours you have to take during your term or to the end of the fiscal year.
How do my leave balances requests deduct from my balances?
Sick, special and vacation banks update as soon as you enter a request in your Self-Service timesheet. Lieu and other compensatory banks are updated weekly to reflect new totals.
I should be receiving a higher amount of vacation leave this year. When are my balances increased to reflect the new rate?
Leave balances are updated the Tuesday before pay day. If you are going to receive an increased based on your vacation leave effective date, your earnings will increase effective the beginning of the pay period your date falls in.. Information on vacation leave effective date can be found in Article 18 - Vacation Leave of the UNW Collective Agreement.
Will the system stop me from entering more than my Departmental limit on lieu time?
As departments have different lieu bank limits, the system will not stop you from entering hours above your cap. It is the responsibility of the employee and their supervisor to ensure the hours banked are within the prescribed amount.
Can I go into the negative in my leave banks?
Compensatory banks (lieu, callback, electronic callback)cannot go into a negative balance. Vacation, sick, and special banks are administered as per the outline in the appropriate Collective Agreement or Handbook
I was absent without leave (AWOL). Do I enter it myself?
The Self-Service system will allow employees and/or managers to enter and approve this absence. However, managers should ensure that Client Services Managers are aware of the situation. Entries without pay for more than five days should always be entered by the Department of Finance. These requests can be sent by the manager as an e-mail to the HR Helpdesk (hrhelpdesk@gov.nt.ca)
Do I have to enter casual leave?
The Self-Service system will allow employees and/or managers to enter and approve this leave. Employees should confirm with their managers the appropriate procedure for their division/department.
I am a Relief Worker who has just accepted an appointment to a position. Does my earlier transfer assignment into a position affect my Sick, Special and Vacation leave entitlements?
Although you did not earn Sick and Special Leave during your employment as a Relief Worker, you did while you were on your Transfer Assignment. When your new job data is entered into PeopleSoft, the Sick and Special Leave you earned then during your Transfer Assignment but did not use will be re-activated.
Vacation Leave entitlement is based on continuous service. So, if your continuous service from the start of your employment as a Relief Worker is greater than two (2) years, you will start at the higher level of entitlement. (Article 18.01).
I have Multiple Records can I transfer my sick/special leave from one record to another?
If you are an active UNW member who is continuous and active in all of the records, and you have used all your leave and are in the arrears for sick or special leave, you can transfer your leave to cover the arrears from one record to another.
Your leave will only be transferred upon request, and you must ensure you have the leave available. Your supervisors for the positions must be aware of the request. Please fill out the form, including signatures, in the following link and send to the HR Helpdesk at HRHelpDesk@gov.nt.ca to be processed: Request for Transfer of Sick or Special Leave Credits - UNW
If you do not meet all the requirements, your HRHelpDesk ticket may be rejected until all the requirements are met.
